eHealth Services Secretary - Job Posting
SUMMARY
The eHealth Services Secretary provides administrative support to management and performs administrative duties and activities including receiving and handling information.
Responsibilities
1. Provides reception, clerical and administrative services
a) Provides reception function for the office, answering phones and inquiries as necessary
b) Provides general office support such as word processing, photocopying, and processing incoming and outgoing mail and faxes
c) Books travel and accommodation arrangements for KO eHealth staff including requesting travel advances and submitting expense claims according to Finance policy
d) Coordinates arrangements for KO eHealth meetings and events by booking appropriate facilities and vc units
e) Maintains an office calendar of planned meetings
f) Orients new staff to use of telephone and office equipment
g) Sets up work procedures
h) Prepares and manages correspondence, reports and documents
i) Records and distributes minutes of KO eHealth staff and committee meetings
j) Collects timesheets every two weeks for all KO eHealth staff, gets sheets authorized and delivers to Payroll Clerk at main office; sends reminders and follows up when forms are incomplete or missing; files information
k) Administers purchase order system for KO eHealth including obtaining authorization signatures from managers at main office
l) Orders office supplies for KO eHealth office and communities; packages and delivers to airport or post office as necessary
m) Conducts errands and performs other general tasks to keep the office running smoothly
n) Ensures the prompt purchase and delivery of office supplies and equipment to the CTCs
o) Sets up and maintains filing systems and contact lists of KO eHealth staff and community contacts
a) Participates in regular KO eHealth staff meetings and on committees as required
b) Participates in annual performance evaluation as required
c) Participates in training and updating activities as required as per goals set during annual performance appraisal
d) Maintains good communication with KO eHealth staff
e) Other duties as assigned by the Director of eHealth Services
Knowledge, Skills and Abilities
a) Grade 12 or equivalent; secretarial training essential
b) A minimum of 3 years experience in office support or secretarial work
c) Sensitivity to geographical and cultural needs of Nishnawbe people
d) Ability to speak a First Nations dialect (Ojibway, Oji-Cree, or Cree) an asset
e) Knowledge of administrative and clerical procedures
f) Proficient in computer use (M/S office, especially Word and Excel; email); strong word processing skills
g) Proficient in spelling, punctuation and grammar and other English language skills
h) Ontario Driver's license G
i) Excellent interpersonal and communications skills (written and oral)
j) Dedication to service excellence
This is a term position to cover the period September 10th 2012 to November 29 2013
